Alex ("we," "our," or "us") operates the alexceo.ai website and the Alex AI agent platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password (stored as a bcrypt hash). If you subscribe to a paid plan, Stripe processes your payment information directly — we never store credit card numbers.

Usage Data

We collect data about how you interact with Alex, including: messages sent to Alex (processed by AI models), credit consumption, feature usage, and session metadata. This data is used to provide the service, calculate billing, and improve the product.

Messages and Conversations

Messages you send to Alex through connected channels (Slack, Teams, Discord, Web Chat) are processed by AI models (Anthropic Claude, OpenAI) to generate responses. We store conversation context within your isolated tenant container for session continuity. We do not use your conversations to train AI models.

Technical Data

We automatically collect IP addresses, browser type, device information, and access timestamps for security monitoring and audit logging.

2. How We Use Your Information

  • To provide, operate, and maintain the Alex platform
  • To process transactions and send billing notifications
  • To provide customer support
  • To detect and prevent fraud, abuse, and security incidents
  • To comply with legal obligations
  • To generate anonymized, aggregated analytics (never sold to third parties)

3. Data Isolation and Security

Each customer's data is isolated in a dedicated container with its own filesystem, network namespace, and memory space. We encrypt all data at rest using AES-256 (AWS KMS) and in transit using TLS 1.3. Slack tokens and other secrets are encrypted with per-tenant KMS data keys.

4. Third-Party Service Providers

We share data with the following sub-processors to operate the service:

  • Amazon Web Services (AWS) — Infrastructure hosting (US-East-1, EU-West-1)
  • Anthropic — AI model provider (Claude) for processing messages
  • OpenAI — AI model provider for processing messages
  • Stripe — Payment processing
  • Slack, Microsoft, Discord — Channel integrations (as authorized by you)

5. Data Retention

We retain your data for as long as your account is active. Conversation data within tenant containers is retained according to your plan settings. Audit logs are retained for 90 days (Pro) or 1 year (Team/Enterprise). When you delete your account, we purge all associated data within 30 days.

6. Your Rights (GDPR)

If you are in the European Economic Area, you have the right to:

  • Access — Request a copy of your personal data via the dashboard or API
  • Rectification — Update inaccurate personal data
  • Erasure — Request deletion of your account and all associated data
  • Portability — Export your data in machine-readable format
  • Restriction — Request limitation of processing
  • Objection — Object to processing based on legitimate interests

7. Data Residency

By default, data is processed in the US (AWS us-east-1). EU customers can request EU-only processing (AWS eu-west-1, Ireland). Contact us at privacy@alexceo.ai for data residency options.

8. Cookies

We use essential cookies for authentication and session management. We do not use advertising or tracking cookies. Our analytics are privacy-preserving and cookie-free.

9. Children's Privacy

Alex is not intended for use by anyone under 16 years of age. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice on our website at least 30 days before the changes take effect.
